Gracie Jiu-Jitsu Fourways CC (registration number 2005/019308/07) runs https://graciefourways.co.za and the academy at Pineslopes. We are the responsible party under the Protection of Personal Information Act 4 of 2013.

What we collect

Trial and contact forms: name, date of birth, email, phone, program interest, and any comment. Used to book a trial, place the person in the right age group, and reply. Date of birth is needed because classes are age-based. If you do not give it, we cannot book the trial.

Membership records: name, contact details, emergency contact, membership plan, attendance, belt or rank, debit-order details handled by the payment collector, and notes about injuries you tell us about. Used to run classes, bill, and keep the mat safe.

Children: a parent or guardian submits the child’s details. We use them for class placement, attendance, awards, and safety. We do not market to the child.

Photos and video: taken in class if the waiver allows it, used for academy promotion. A parent can withdraw future use by email.

Website data: IP address, browser, and pages viewed, if the site platform sets those cookies. Used to run the site.

Who we share it with

Gymdesk, which hosts this site and the member database. Payment and debit-order providers used for membership fees. Gracie University, where a student account on their online curriculum is part of the membership. Instructors and student services staff. A courier only if we post a certificate or uniform. A regulator, insurer, or adviser if the law or a claim requires it.

WhatsApp and email

We send class, billing, and safety messages to the number and email on the form. You can opt out of newsletters by emailing admin@graciefourways.co.za. Opting out of operational messages may mean you miss a schedule change.

How long we keep it

Trial enquiries we do not convert: 12 months. Member records: for the membership and then 5 years for tax and dispute records. Injury notes: for as long as a claim could still be made. Photos: until you ask us to stop using them, then we remove them from our channels where reasonable.

Your rights

You can ask for access, correction, or deletion, and you can object to marketing. Email info@graciefourways.co.za. Complaints can go to the Information Regulator at https://inforegulator.org.za.

Children

We do not take a child’s information from the child. A parent or guardian provides it. Please do not put a child’s photo on a public review without thinking about that.

Security

The site and Gymdesk login are access-controlled. Do not share your member login.
